The Digital Transformation of MYOB

The 2021 MYOB User Groups sessions were all about Real-Time Insights and the power they could bring to your organisation. We were very lucky to be joined by MYOB’s Head of Operations (Enterprise), Serena Thomas, who shared with us their experience implementing MYOB Advanced for the Enterprise Division of MYOB. Serena has over 10 years of experience in leadership, operational and people management roles in the technology industry. She drives strategic change initiatives relating to organisational restructures, digital transformations, and continuous process improvements.

MYOB has provided accounting software to Australian and New Zealand businesses for the last 40 years. Being able to evaluate data in real-time, make sound decisions, and act accordingly is a keystone of a successful and growth-oriented business. However, as MYOB began growing, acquiring more midmarket software, and becoming more complex, they struggled to get a real-time perspective on their data, to maintain efficiency and to foster growth.

What was Project Evo?

Project Evo was a long-term journey to turn MYOB into a Connected Business. Previously, MYOB was working a day behind with all their data, slowing down their decision making and limiting their flexibility. They needed a single source of truth for their data, bringing everything into one place to improve visibility, accessibility, and efficiency. Having one platform to manage the entirety of MYOB Enterprise would remove manual data duplication and speed up their information pathways and workflows. Phase 1 of Project Evo went live in Q1 2020, and Phase 2 went live in Q3 2020.

MYOB engaged our Platinum Sponsors Kilimanjaro Consulting for their MYOB Advanced Implementation. Kilimanjaro Consulting is MYOB’s largest and most successful implementation partner and has the skills and experience to meet MYOB’s unique requirements and make their organisation more efficient.

Following the implementation, MYOB was able to use the full breadth of MYOB Advanced’s functionality to become more efficient. They were able to bring all their customer data into one system for the first time since they acquired Greentree in 2016. This greatly benefited the different teams, especially when combined with the automation the new system added. Manual reporting, order processing, and commission processing were all automated, improving efficiency for staff and partners, and improving the user experience overall.

But what lessons did MYOB learn from Project Evo?

A project as large as this is never as smooth as planned, and Serena shared some of her learnings from working on such a significant venture:

  1. Thorough data cleaning is essential to ensure the integrity of the new system – trust the data from day one,

  2. Identify dependencies on other teams or parties – engage early and often to keep them in the loop and stay on top of any personnel changes,

  3. Engage advocates to make change management more relevant and meaningful – to help with requirements gathering, User Acceptance Testing (UAT), training, and ongoing change management,

  4. Ensure you have the right skillsets and capabilities to leverage the new technology – because the software still needs to be used to its full extent by your team.
